Inventory & Check-In/Out Reports
It is always recommended to create an inventory report and have this signed by all parties (landlord and tenants) on the move in date. As every deposit taken by a landlord must be registered with an approved scheme, giving the tenants right to dispute any deductions, a landlord must protect their asset by creating proof of the initial and end condition of the property.
how it works.
Before the tenants move in, we will visit the property and create a detailed inventory report including the condition and cleanliness of fixtures, fittings and furniture, record meter readings.
The report will be sent to the tenants by email. A signature to confirm safe receipt of the inventory is requested from the tenants.
On the day of the check-in we will meet the tenants at the property and explain the inventory process to them.
If they have not yet signed to confirm receipt of the inventory they will be asked to sign before the keys are handed over.
The tenants have 7 days after the check-in date to review the contents of the inventory.
Happy to approve: The tenants will be able to approve the contents of the inventory and sign via a touch screen device or mouse.
Have some feedback: The tenants will be able to add comments and asked to provide supporting photos of any discrepancies.
Forget to reply: Reminders will be sent by text and email. If the tenants have not signed within 7 days the signature from their initial confirmation of receipt will be used to auto approve the inventory.
Once the inventory has been approved, a signed PDF inventory will be emailed to you for your records.
An interim inspection can be arranged at any time during the tenancy period. Upon your request we will visit the property and create an interim report to draw attention to any damage, maintenance issues and tenancy breaches.
A check-out report is carried out at the end of a tenancy once the tenants have moved out. The property is thoroughly examined and we compare the condition and cleanliness of all items listed to the original inventory check-in report. Any changes that have occurred during the tenancy and any missing items will be flagged in the check-out report.
